Importance of Keeping Mileage Records
Whether you are and employee of a company or a sole trader it is important that you keep accurate records of your business mileage.
These records should be kept in case of a PAYE compliance visit by HM Revenue & Customs or an investigation into your tax return of you are self –employed or are required to complete a tax return.
If you are an employee home to work journey is not allowed and use the HM Revenue & Customs approved mileage rates
First 10,000 Miles 45p per mile
Above 10,000 Miles 25p per mile
Just keeping the number of business miles in your diary on your colanders is no longer enough.
Keeping A Mileage Log
There may some online programmes that you can use or you could use an Excel spreadsheet to do this for you. If you are using an Excel spreadsheet you will need to have the following details on their
Date
Company Visiting
Start Mileage on Your Car Dashboard
Finish Mileage on Your Car Dashboard
Total Miles Travelled
Another factor to beware of is that if you are self-employed at the car is declared 100% business use then the mileage log will be expected to tie up to other car documents like service records, MOT certificate and if they do not the whole mileage may get disallowed.
What Other Documents Do I Need To Back This Up
It is unlikely that HM Revenue & Customs will take asking questions as satisfactory they will want details of the trip and the sort of things they are looking for are:
Diary appointments
Contracts
Email confirming meeting
Letter of appointment
Call communication log if your system has one.

In apps like Dext this comes with a mileage tracker so it so easy to use when you have a smartphone, most people have a one of these, but I appreciate not everyone does.
